Office Manager and Executive Assistant to the President: The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision. This person must be exceedingly well organized, flexible and enjoy the administrative challenges of this position. He/she must excel with the ability to not only manage and lead a team of office administration interns but also interact with staff (at all levels) outside of the President’s office in a fast paced environment, usually under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism. Confidentiality is crucial in this role. Expert level written and verbal communication skills, strong decision making ability and attention to detail are equally important. POSITION SUMMARY: This position will report directly to the President and will provide support to the President as well as supervise a team of office administration interns. JOB REQUIREMENTS OF THE PRESIDENT’S OFFICE Achieved through their leadership of the office administration interns • Review and summarize miscellaneous reports and documents; prepare background documents and outgoing mail as necessary • Ability to manage multiple priorities and conflicting requests • Ability to work independently and as part of a team; prioritize work and manage a variety of complex projects simultaneously with accuracy and detail in a complex environment with changing deadlines and priorities and frequent interruptions • Perform special projects and tasks as directed • Maintain professionalism and confidentiality • Flexibility and talent for working in a fast-paced • Must be a team player and have the ability and affinity for adapting with various personalities and work styles • Excellent analytical skill and ability to determine scope of potential problems so as to develop information quickly which can be used by the President. • Strong typing skills (both speed and accuracy) • Superior editing skills with a thorough knowledge of English grammar, spelling, punctuation and proofreading. • Impeccable attention to detail • Prepare communications to clients, officers and staff • Schedule meetings, prepare agendas and arrange for audio-visual as well as food and beverage • Conserve executive’s time by reading and analyzing incoming memos, submissions, and reports to determine their significance and plan their distribution • Open, sort and distribute incoming correspondence, including faxes, phone calls and emails • File and retrieve corporate documents, records, and reports • Prepare and review letters and documents for the President with emphasis on detail and accuracy • Perform general office duties such as ordering supplies, maintaining records, and performing basic bookkeeping work • Prepare agendas and make arrangements for meetings, dinners and some events, including ministry board meetings • Manage all travel arrangements for executives including air and ground transportation, hotel and dinners • Highly proficient with MS office (Word, Excel, PowerPoint, Outlook) • Outstanding communication skills (written, verbal, listening, and presenting) • Exceptional organizational skills; extensive experience coordinating projects, setting priorities, meeting deadlines, and following up on assignments with minimum direction • Excellent calendar (Outlook) management skills, including the coordination of complex executive meetings and scheduling travel arrangements for management • Answers phones and direct all incoming calls to appropriate party promptly and efficiently • Communicate and handle incoming and outgoing electronic communications on behalf of the company • Assist with preparation of presentation materials • Excellent customer service skills • Manage expenses for President • Preserve and maintain confidential information • Provide support to cross departmental projects as needed • Ability to supervise and evaluate the work of others. MUST HAVE: • 5+ years experience supporting at the executive level • Excellent calendar management skills, including the coordination of complex executive meetings • Experience assisting management with the creation of PowerPoint presentations • Experienced scheduling travel arrangements domestically and internationally • Computer literate; strong Outlook, Excel, Word, and PowerPoint skills a must • Ability to work in a demanding and dynamic environment • Detail-oriented with exceptional organizational skills • Ability to prioritize and follow-up with minimal direction STRONGLY PREFER: • Experience successfully creating and/or modifying processes • Bachelor’s degree
